Bins
A bin is anything that holds things: a tote, box, toolbox, drawer, shelf, cabinet, safe or bag. Each bin has a name, a type, categories, a location, photos and a list of what's inside.
- Short code for every bin, like GZ5M7K, printed on its label and easy to write on tape.
- Photos of the bin (what it looks like) and photos of its contents.
- Notes, typed or dictated, such as “not inventoried yet” or “lid cracked”, shown at the top of the bin.
- Keywords for your own grouping (“camping”, “tax 2025”) that search and filters understand.
- Bins inside bins: a parts box in a toolbox in a cabinet. Move the outer one and everything comes along.
- Delete a bin and keep its items (they move up to the parent bin, or stay loose at the bin's location), or delete it with everything in it. Either way you can undo.
Items
- Name, quantity, category, keywords, notes and photos for every item.
- Thumbnails in the bin's list, between the name and the count.
- −/+ to change a count, long-press to select several and move or delete them together.
- Just added stays on top: the item you just added is highlighted at the top of the list, so fixing a typo is one tap.
- Search inside a bin when you're standing in front of it.
- Items can also sit loose at a location without a bin (the bike on the garage wall).
Locations & floor plans
Locations nest as deep as you need: Home › Basement › Utility room › Shelf B. TracStor suggests common places (garage, attic, storage unit, vehicle and more) with what usually goes there, but never creates them for you.
- Floor plans: give a room its size in feet, draw areas inside it, and tap an area then tap bins to place them. Areas get distinct colors and become real sub-locations.
- Where it is: each bin's header shows its spot on the plan; tap it to see the plan, the stack it's in, and the GPS spot where it was entered.
- Stacks: bins stacked on top of each other, so you know it's the second tote from the top.
- Map: optional satellite view of the spot where a bin was entered, handy for storage units and second homes.
Labels & tags
Labels show the bin's name and code, a QR code, its category and a random sample of what's inside (“XR4 receiver, props, zip ties, +26 more”). They deliberately leave the location off, so a bin can move without a new label.
- Print directly to a Bluetooth thermal label printer, with the label size, darkness, gap and orientation set once in Settings.
- Label sheet as a PDF for any printer, or save a label as an image.
- Tape code: just the six-character code, as big as it fits.
- NFC: write a tag and tap it to open the bin, even with TracStor closed.
- Existing barcodes: link a code that's already on a box.
- Item labels for single things that wander, like a drill or a camera.
- Scan with TracStor's Scan tab or with the phone's own camera app.
Search & filters
- One search box for items, bins, categories, keywords and notes. Results show quantity, bin and full location.
- Tap a result to open the bin with that item highlighted.
- Filters for location, category and keyword, plus “no location yet” to find bins you haven't placed.
- Search by voice.
Voice & photos
- Dictate one item at a time: the words you say become the item's name, exactly. Review it, set the quantity and category, add a photo, save.
- Photo first: take the picture, then name the item.
- Photos of bins, contents and items are saved full size in Pictures/TracStor on your phone, with thumbnails kept in the app so lists stay fast even if a photo is removed.
- Dictated notes on bins.
History & undo
- Every bin and item has a history: created, moved, renamed, count changed, photo added, tag linked, loaned and returned.
- Undo right after a change, and deleted bins and items stay recoverable for 30 days.
- An admin console for locations, categories and an activity log.
Loans (Advanced Mode)
Note who borrowed something and when you want it back. TracStor sends a reminder at 9 AM that day, and the loan shows in the item's history.
Backup & your data
- Back up now saves one ZIP: every bin, item, location, floor plan, category, tag, the history and all photos, plus bins.csv and items.csv for Excel or Google Sheets.
- Restore on the same phone or a new one, with a summary first and an undo afterwards.
- Android's automatic backup also keeps the database and settings in your Google account.
- Self-check at start-up repairs broken links between bins, items, places and tags, and logs what it fixed.
